LTC-SW Church Coordinator's Task Checklist

  • I have destroyed last year's rules and have made sure that all team members have this year's information.

  • I have informed my group that the hotel reservations must be made by February 4th, 2008 in order to receive the LTC-SW group rate. After that, this special room rate will not be honored. Due to the LTC-SW convention being held earlier in the year, room availability can not be guaranteed after this date because Baseball Spring Training will be in full swing. Encourage, admonish, and exhort your group to make their room reservations as early as possible!

  • I have completed the registration forms for my group and have A) registered my group on line at www.ltcsw.org by February 18, 2008 or B) sent the registration forms by February 11, 2008to Vivia Simmons, 534 W. El Camino, Phoenix, AZ 85021. This will ensure that the people registered in my group will receive their free LTC T-shirts.

  • I have enrolled the judges on line at www.ltcsw.org by March 14, 2008

  • I have mailed the fees for registration, meal tickets, and extra T-Shirts to Vivia Simmons, 534 W. El Camino, Phoenix, AZ 85021. All fee checks are to be made out to Leadership Training for Christ - Southwest Region (LTC-SW).

  • I have met with the adult sponsors of my group, given them the Guidelines for Sponsors and have explained the behavior guidelines for our young people. I have explained the Church Coordinator's Code of Ethics to our adults to ensure that they are fully prepared to serve as well-informed helpers during the weekend.

  • I have informed my group that appropriate dress is recommended for the Celebration on Saturday night and the Worship Service Sunday Morning.

  • I have met with the young people and their parents, giving them specific information regarding behavior. I have given all young people the Hotel Etiquette Guidelines explaining to them and their parents the expectations for behavior during the weekend.

  • I have encouraged those adults going as judges to practice judging their events with youth in my group.

  • For overnight participants within the hotel, I have assigned one adult and up to three youth participants per room.

  • I have advised my group that at the convention they CAN NOT PARTICIPATE IN MORE THAN ONE EVENT PER EACH TIME SLOT. This includes participants participating at higher grade level team events or otherwise.

  • I will attend the Church Coordinator's meeting.

  • I will see that my participants have received their awards and submit any correction requests no later than Monday, April 7, 2008.
